What is a Time Card?

A time card is a record of an employee's punch-in and punch-out times for each working day. It is used to calculate the total hours worked, regular hours, and overtime hours for payroll processing. In India, time cards are essential for businesses that pay hourly or daily wages, and for tracking overtime under the Factories Act.

  • Time cards record daily punch-in and punch-out times for each employee
  • Total hours are split into regular hours and overtime based on the standard shift duration
  • Accurate time cards are mandatory for overtime compliance under Indian labour laws

How to Calculate Work Hours from a Time Card

The calculation is simple: subtract the punch-in time from the punch-out time for each day, then total all the daily hours.

Daily Hours = Punch-Out Time - Punch-In Time

Regular Hours: Hours up to the standard shift duration (e.g., 8 hours per day)

Overtime Hours: Hours worked beyond the standard shift duration

Total Hours: Sum of all daily hours for the period

Time Card Calculation Example

An employee works Monday to Saturday with an 8-hour standard shift.

Monday: 9:00 AM to 6:30 PM = 9.5 hours (8 regular + 1.5 OT)

Tuesday: 9:00 AM to 6:00 PM = 9 hours (8 regular + 1 OT)

Wednesday: 9:00 AM to 5:00 PM = 8 hours (8 regular + 0 OT)

Thursday: 9:00 AM to 7:00 PM = 10 hours (8 regular + 2 OT)

Friday: 9:00 AM to 5:30 PM = 8.5 hours (8 regular + 0.5 OT)

Saturday: 9:00 AM to 2:00 PM = 5 hours (5 regular + 0 OT)

Total: 50 hours (45 regular + 5 overtime)

Why Time Card Tracking Matters

  • Payroll accuracy: Hours worked directly determine salary for hourly and daily-wage employees. Wrong hours mean wrong pay
  • Overtime compliance: The Factories Act requires overtime to be paid at 2x the normal rate. Accurate time cards are the proof
  • Labour law records: Indian labour codes require maintaining working hours records for inspections
  • Productivity tracking: Time card data reveals patterns like late arrivals and overtime trends

Overtime Rules in India

Factories Act: Overtime must be paid at 2x the ordinary rate for hours beyond 9 hours/day or 48 hours/week

Shops and Establishments Act: Varies by state, generally limits daily hours to 9 and weekly to 48

Code on Wages 2019: Proposes 8 hours/day maximum with OT at 2x rate

Spread-over: Total time between first punch-in and last punch-out should not exceed 10.5 hours

FAQ

Frequently Asked Questions

Common questions about time card calculation and work hours tracking.

How do you calculate total hours from a time card? +
Subtract the punch-in time from the punch-out time for each day to get daily hours. Then add up all daily hours to get the total. For example, 9:00 AM to 6:00 PM = 9 hours.
How is overtime calculated from a time card? +
Set a standard shift duration (e.g., 8 hours). Any hours worked beyond that on a single day count as overtime. For example, if the standard is 8 hours and an employee works 10 hours, 2 hours are overtime.
What is the overtime rate in India? +
Under the Factories Act and most state Shops and Establishments Acts, overtime must be paid at twice (2x) the ordinary rate of wages.
Should breaks be deducted from work hours? +
It depends on company policy. Some businesses deduct a fixed break duration from daily hours. This calculator counts full punch-to-punch hours without break deduction.
What is the maximum working hours per day in India? +
Under the Factories Act, the maximum is 9 hours per day and 48 hours per week. The spread-over should not exceed 10.5 hours.
How does a time card help with payroll? +
Time cards provide the exact hours worked by each employee. For hourly or daily-wage workers, this directly determines salary. For salaried employees, it tracks overtime eligibility.
What is the difference between a time card and a timesheet? +
A time card records actual punch-in and punch-out times from a device. A timesheet is a self-reported log. Time cards from biometric devices are more accurate.
Does this calculator handle overnight shifts? +
Yes. If the punch-out time is earlier than the punch-in time, the calculator assumes an overnight shift and calculates hours accordingly.
