What's inside

What is inside the pack

Eleven formats. Read section 2 before any reward goes out.

Formats 01 to 04

Four appreciation letters

One achievement, a quick thank-you, a team, and long service. Each letter of appreciation thanks the work, which is not the job of an increment letter.

Formats 05 to 07

Employee of the month

A scheme notice with written criteria, a nomination form and a panel scoresheet. Any cash award is taxed as salary.

Formats 08 and 09

Announcement and certificate

A winner notice for the board and intranet, and an employee of the month certificate ready to print on card.

Formats 10 and 11

Consent and register

Consent before a public post, and a register keeping each employee's running total of gifts against ₹15,000.

Sections 1 to 9

The rules behind them

Which letter when, how each reward is taxed, a fair scheme, sharing a photo, who each rule reaches, and forty citations.

Awards that reach payroll

Attendo (formerly Petpooja Payroll) runs salary, attendance and TDS for every branch in one account, so an award lands in the right month.

Why this matters

Why the reward needs more care than the letter

Because the letter costs nothing in tax and the reward does. A cash award, a gift voucher and a certificate are three different things in law.

A cash award is salary, so it goes through payroll with TDS. A gift or voucher is valued at nil only while the employee's gifts for the tax year total below ₹15,000, the Diwali hamper included, and once the total reaches ₹15,000 all of it is taxable. Neither is the statutory bonus, and neither should be called one.

Then there is the rewards and recognition scheme itself. Written criteria, a panel of two and the same award whatever the gender keep it fair, the same way your equal opportunity policy does. And a fixed sum promised every month may become wages, on our reading, with PF to follow, so the pack keeps every award at your discretion.

Last, the photo. Announcing the winner on the notice board is for employment, on our reading, and needs no consent under the DPDP Act. Posting them on LinkedIn goes further, so the pack has a consent form that keeps the award the same whatever the answer.

The same pack serves a plant thanking its night shift, a hospital naming its nurse of the month and a retail chain rewarding its best store: the letters change, the rules do not.

Three rewards three tax treatments

Whichever appreciation letter format you use, what goes with it decides the tax, and the pack's register keeps track.

  • A letter or certificate alone. Nothing to tax, nothing for PF. A copy goes on the personnel file.
  • A cash award. Salary, through payroll in the month paid, with TDS at the employee's average rate.
  • A gift or voucher. Nil while the year's gifts total below ₹15,000, then the whole amount is a perquisite.

Key stats

Three numbers behind a reward

₹15,000 a year in gifts and vouchers, below which they are not taxed

Each employee's total for the tax year, every gift counted. Once it is reached, all of it is taxable.

20 employees bring in PF, and a promised award may count

On our reading, a sum a scheme promises is wages and draws PF. An award at your discretion does not.

21 days' notice before withdrawing a customary award

Withdrawing a customary concession changes conditions of service. When an award becomes customary, the Code does not say.

Common mistakes

6 Appreciation and Award Mistakes Indian Employers Make

Calling the award a bonus

The statutory bonus is a separate duty. Keep awards apart from your bonus payout in payroll.

Forgetting the gift total

₹15,000 is each employee's total for the year, across every gift and voucher, the household's too. Keep a running total.

Promising a fixed sum every month

A promised sum may become wages, PF and all. Pay for targets is an incentive, not an award.

Posting the winner without asking

The notice board is employment. LinkedIn is not, on our reading: take consent, and make saying no cost nothing.

Counting statutory leave as absence

Leave under your maternity policy, or earned leave, is not poor attendance. Score what they control.

Stopping a long-running award overnight

One paid for years may be a customary concession. Withdrawing it needs 21 days' notice to workers.

FAQ

Common questions

Is this appreciation letter pack really free? +
Yes, completely. No card and no trial. The form asks for your name, work email, phone and city, then the Word file downloads straight away. The Attendo team may follow up about payroll software, and you are free to say no thanks.
How do I write an appreciation letter for an employee? +
Name the specific work and its date, say what it changed, send it within a week and copy it to the personnel file. The pack has four letters: for one achievement, a short thank you letter for extra effort, a team and long service.
Is an employee of the month award taxable? +
A cash award is salary and goes through payroll with TDS. A gift or voucher is valued at nil while the employee's gifts for the tax year total below ₹15,000. Once the total reaches ₹15,000, all of it is taxable, not just the part above.
Does an award count for PF? +
Not if it is a one-off at your discretion, on our reading. A fixed sum a scheme promises can become wages, and then PF follows where the PF chapter applies, at twenty or more employees. Keep awards discretionary and say so.
Can I post the employee of the month on LinkedIn? +
Take written consent first. On our reading, an announcement inside the company is for employment and needs none, while a public post goes further. The award must not depend on the answer, and the employee can withdraw consent at any time. For a winner under eighteen, a parent or guardian consents.
